What RooMail does with an email, start to finish

Connecting Reading Deciding Replying Handover

Connecting

Authorise a mailbox and RooMail starts working on new mail as it lands. It runs alongside the inbox your team already uses, so nobody has to move to a new tool or learn a new interface. Start with one shared mailbox, add the rest once you like what you see.

Reading

Each message is read in the context of its thread, not as a line of text on its own. RooMail works out what is actually being asked, who is asking, whether it has been asked before, and whether anything is attached that changes the answer.

Reading happens the moment new mail lands — no forwarding, no exporting, no extra step for your team.

Deciding

Every email lands in a category you defined, and every category has a rule attached to it. The rules are yours to write in plain words, and you can change them any time without waiting on us.

A decision per email
Answer it, from your own materialDraft it and wait for a person to approveArchive it, because nothing needs doing

When RooMail is not confident, it does not guess. It hands the email to a human with what it understood and why it stopped.

Replying

Replies are written from your website, your documents and the answers your team has already given, so they say what your organisation actually says. They go out from your address, in your signature, in the thread they belong to.

Autosend is off to begin with. You approve drafts, correct the ones that are not right, and turn sending on category by category once a category has earned it.

Handover

Everything RooMail did is logged. Who it was from, what category it landed in, what was sent, and who approved it.
